How we handle personal information
This policy explains how Glass Half Full AI collects, uses, stores, shares, and retains personal information from website visitors, enquiries, and clients — including our AI-assisted Idea Lab and phone callback features.

Information we collect
- We do not save Idea Lab or phone conversation content in our databases. It exists only for the live session — in your browser for Idea Lab, and as real-time audio processing for phone callbacks.
- We keep enquiry details only when you explicitly submit a form — for example, when you confirm send in Idea Lab or use our contact form.
- Contact details you send us through forms, such as your name, email address, phone number, company name, role, and location.
- Idea Lab session content (not retained by GHF): messages, voice transcripts, workflow details, and generated outputs such as blueprints, ROI estimates, and quotes. These are processed during your visit but not stored by us after you leave unless you submit an enquiry.
- Voice input in Idea Lab: audio you record is sent for transcription and appears in your session chat. We do not store the audio file.
- Phone callback requests: the Australian mobile number you provide (used to place the call), your consent record, and a hashed phone identifier in our forms log — not the raw number in our long-term consent record.
- Contact details shared in AI conversations: only if you volunteer them, or if you agree when the agent asks permission at the end of a conversation to record them in a GHF enquiry form.
- Business context you choose to share through discovery calls, support requests, documents, project briefs, and messages.
- Technical and analytics information from the website, such as pages viewed, approximate location, device and browser details, IP address, referral source, cookies, Google Analytics events (when enabled), and diagnostic logs.
- Technical metadata from AI features: rate-limit identifiers and operational logs such as call IDs, webhook status, and run counts — not conversation transcripts.
- Service delivery information created while we work together, including project notes, workflow requirements, integration details, support history, and implementation records.
How we use it
- To respond to enquiries, prepare proposals, run discovery, and decide whether we are the right fit for a project.
- To operate Idea Lab — exploring automation ideas, generating blueprints, estimates, and quotes during your session.
- To transcribe voice input in Idea Lab into chat messages.
- To place and conduct automated outbound callback calls you request from the website.
- To log callback consent and abuse-prevention metadata.
- To design, build, test, support, secure, and improve automation, AI, website, analytics, and integration work for clients.
- To operate and improve this website, understand which content is useful, prevent abuse, troubleshoot issues, and maintain security.
- To meet administrative, record-keeping, legal, tax, insurance, and contractual obligations.
- We do not use your Idea Lab or phone conversations to train our own models.
How long we keep it
- Conversations: we do not retain Idea Lab or phone conversation content in our systems. Session data disappears when you close or refresh the page (Idea Lab) or when the call ends (phone).
- Enquiry form submissions: retained via our forms and CRM systems for as long as needed to respond and administer the relationship.
- Callback consent records: retained (hashed phone identifier, consent timestamp, source) for compliance and abuse prevention.
- Server logs: short-lived operational metadata such as run IDs, message counts, and timing — not conversation content.
- Provider processing: xAI and OpenAI may retain data processed during your session per their own privacy policies.
- When information is no longer needed, we take reasonable steps to delete it, de-identify it, or securely archive it from active systems.
Who we share it with
- We do not sell personal information.
- xAI — Idea Lab chat completions and speech-to-text transcription.
- OpenAI — real-time voice processing for automated phone callbacks.
- Telnyx — telephony for outbound dialing and call routing.
- Google — website analytics when Google Analytics is enabled.
- We may also share information with trusted providers that help us run the business and deliver services, including hosting, email, CRM, forms, security, cloud infrastructure, development, and support tools.
- Some providers may process or store information outside Australia. Where that happens, we use reputable providers and take reasonable steps to protect the information.
- We may also disclose information if required by law, to enforce agreements, to protect rights and safety, or with your consent.
Security
- We use reasonable technical and organisational measures to protect personal information from misuse, interference, loss, unauthorised access, modification, and disclosure.
- No internet service is risk-free, so we keep the information we collect as limited as practical and review access to client and enquiry records.
Access, correction, and deletion
- You can ask to access or correct personal information we hold about you. You can also ask us to delete information where we no longer need it for a legitimate business, legal, contractual, or record-keeping purpose.
- The easiest way to contact us is through the contact form on the About page. We may need to verify your identity before acting on a request.
AI-assisted features
- Idea Lab is an interactive AI chat (with optional voice input) on our website that helps you explore automation ideas for your team.
- Phone callbacks are automated AI voice calls to the Australian mobile number you provide from our website.
- We do not save your conversations. Content is processed live to generate responses but is not stored in GHF systems unless you submit an enquiry form.
- Enquiry forms are opt-in. At the end of a helpful conversation, the agent may ask permission to prepare a GHF enquiry for our team. You review, edit, and explicitly send — or decline. Nothing is submitted without your confirmation.
- Contact details are not proactively collected. The agent does not ask for them unless you offer them, or unless you agree when asked at wrap-up for an enquiry form.
- Responses are generated by AI and are not reviewed in real time by a human. They may be inaccurate and are not professional advice.
- Content is transmitted to xAI (Idea Lab) or OpenAI (phone callbacks) to generate responses during your session. We do not use your conversations to train our own models.
Phone callbacks
- You can request a callback from our website by entering your Australian mobile number and choosing to call me now.
- We place an outbound call to that number using an AI voice agent powered by OpenAI.
- Consent is required before we place the call. We log that consent with a hashed phone identifier — not the raw number in our long-term consent log.
- We do not store call conversations. Audio is processed in real time by OpenAI to power the agent. GHF does not record or retain transcripts.
- Contact details during calls are only collected if you volunteer them, or if you agree when the agent asks permission at the end to record them for a follow-up enquiry.
- To request deletion of callback or enquiry records, use the access, correction, and deletion section above.
